Learn how to view the cohorts assigned to you as an advisor in Workday.
Step-by-Step Instructions
View my cohorts through the Advising Dashboard
Use this process if you have access to the Advisor Dashboard.
- On the Workday homepage, navigate to and click the Advisor Dashboard.
- In the Advisees by Cohort and First Standard Academic Period card you’ll see a list of each of your cohorts and a count of how many advisees are in each cohort, broken out by academic unit, academic level, academic standing, class standing, and other fields.
- Click on the name of any cohort or number in the table to view details about a cohort (students in it, advisors, collection managers, etc.) or specific advisees (program of study, expected completion date, class standing, latest academic standing, academic level, or institutional email).
- Select the Related Actions button next to a student’s name and click Engagement > Send Ad Hoc Engagement to send a student engagement to your advisee directly from the Advisor Dashboard.
- You can send a student engagement from any report in your Advisor Dashboard by clicking the Related Actions button associated with the student’s name followed by Engagement > Send Ad Hoc Engagement.
- You can also view your cohorts using a report:
- Search for and select the SRPT0187 – My Advisees report to access the record of a specific advisee. This report also allows you to view all of your advisees and view information about the cohorts each of your advisees is a member of.
- Search for and select the SRPT0131 – Find Student Cohorts report to view all of the students in each of the cohorts you have access to.
View my advisees through the My Advisees report
Use the SRPT0187-My Advisees report to view a list of each of your advisees. If your list of advisees in Workday isn’t accurate, contact your advising cohort manager.
- In Workday, search for and select the SRPT0187-My Advisees report.
- Narrow your search result using the fields in the box or, if you’re not sure what you’re looking for, click OK to expand the search to include all the fields.
- Scroll through the search results to find the advisee you’re looking for. Alternatively, filter by any column header, such as Advising Cohorts, to narrow your results.
- Click any student’s name to access your advisee’s record.
View my cohorts through the Find Student Cohorts report
Use the SRPT0131 – Find Student Cohorts report to view a list of each of your cohorts.
- In Workday, search for and select the SRPT0131 – Find Student Cohorts report.
- Narrow your results using the filters.
- Note that most cohorts are configured at the school level; therefore, when filtering by Academic Unit, select the school (e.g., McKelvey School of Engineering, Brown School).
- If you’re looking for an advising cohort, enter Advising in the Student Cohort Name Contains field.
- To view all cohorts that don’t have an assigned advisor, select the No Advisor Assigned to Cohort checkbox.
- To save a frequently used filter, enter a filter name and click Save.
- Scroll through the search results to find the cohort you’re looking for.
- Click the cohort name to access a list of all the students in the cohort.
- Click a student’s name to access the student’s record.
View a student’s cohorts and advisors
Use the View Support Network for Student report if you want to see all of the advising cohorts an individual student is a member of and all of the advisors that are currently working with an individual student.
- In Workday, search for and select the View Support Network for Student report.
- Enter the student’s name and click OK.
- In the next window, you’ll see a table listing the student’s cohorts.
Additional Context
- Workday enables you to group students into cohorts, or groups of students defined based on certain criteria. In Workday, cohorts can be created manually or automatically based on criteria that you specify. Cohorts help you provide more effective advising to students.
- Advisors can be assigned to specific cohorts.
- A student is an active member of a cohort only when one or more of their academic records currently belong to the cohort.
- Special populations often require their own cohort. These populations can include military members, international students, and student athletes.
