This tutorial explains how to remove a hold to a student’s account in Workday.

Welcome to this quick video on removing holds in Workday. This video is geared toward those who can apply or remove holds from a student’s record and includes those with registrar functions, advisors, financial aid staff and the Office of the University Registrar.

In Workday, there are three parts to a hold: the hold reason, the hold type, and hold context.

The most common holds are in relation to registration, specifically, the registration add hold. This hold blocks students from completing their registration until the hold is resolved.

A student might receive this hold because of past due balances on their account, incomplete health/vaccination requirements, or an unfinished action item for the student.

Additionally, holds can be manually or automatically applied. The holds that are automatically applied are done so based on selected criteria.

An example of when you can manually add hold to a student’s account is if they miss a step in the onboarding process, like creating an academic plan if their school requires it. Then, once the student has completed the plan, you can remove the hold.

Use the SRPT0399 – Find Student Holds reasons report to see a listing of applicable holds across academic units and levels.

Now that you have more information about holds, let’s demonstrate the process.

However, before we begin, in Workday, remember what you can do or view in the system depends on your security role or roles.

Also, keep in mind that in Workday you have multiple ways to navigate to the same task, report, or data.

If you have manually applied a hold to the student’s account, and they have had the opportunity to remedy the hold, it may be time to remove it.

Advisors may remove registration holds from a student’s profile in two ways, through the Advisors Dashboard or a student’s profile.

Quick reminder, financial holds should not be removed. In fact, past due balance holds can only be removed by student accounting.

For our demonstration, we will use the student’s profile. Find the student for whom the hold should be removed. From their profile, select Action Items and Holds. Hover near the search icon to select the Related Actions button. When the menu opens, hover on Holds and you can select Remove Hold.
Select the checkbox to confirm the hold removal and add any relevant comments. Then select Submit to complete the process. A check mark will appear to indicate the registration hold has been removed. Thanks for watching!

Step-by-Step Instructions

If you’re removing more than 25 holds at once, you can request a bulk data load.

  • Warning: You can only remove holds related to your advisor type. Academic advisors can’t remove faculty advising holds, and faculty advisors can’t remove academic advisor holds.
  1. In Workday, search for the student with a hold by using the student prefix (e.g., if you’re looking for Michael Bhat, enter student: Bhat, Michael). 
  2. Click Action Items and Holds
  3. Locate the hold you’re trying to remove. Students will occasionally have more than one hold.
  4. Hover over the Magnifying Glass icon associated with the relevant hold and click the Related Actions button.  
  5. Hover over Holds and select Remove Hold.  
    • If you don’t have access to remove the specific hold type, Holds will not appear. 
  6. Review the information related to the hold that you’re removing and select the Confirm checkbox.  
  7. Click Submit. The process will automatically be completed, and the hold will be removed. Once removed, the hold will be permanently removed unless manually reapplied.

Additional Context

Key Changes
  • In Workday, holds are applied in real time, and individual academic units cannot be excluded from different types of holds.  
  • Holds may be automatically applied and removed when the defined criteria are met.   
  • Depending on the school, both academic advisors and faculty advisors may have to remove a registration hold before a student is eligible to register for the upcoming semester. 
  • School registrars can apply or remove any hold they own regardless of the student’s program of study or academic unit.  
  • In Workday, past due balance holds can only be lifted by Student Accounting. 
Considerations
  • Holds can be removed manually, one at a time, through reports or a student’s profile.  
    • For example, a student has an Academic Advisor hold on their account, blocking them from registering for the upcoming semester. When the student meets with their advisor, the advisor will manually remove the student’s Academic Advisor hold. 
  • OUR, Student Health Center – Danforth Campus, OISS, RSVP office staff, Student Conduct, Title IX Office Leadership, Student Finance Managers, and school registrars can remove holds in mass and can schedule for holds to be removed in mass in the future and on a recurring basis. 
    • For example, the Title IX Office Leadership needs to manually remove the Title IX training hold for every student who completed the Stand by Me module. To save time, the administrator will remove the hold in mass for all applicable students.  
  • Overriding a hold lifts a hold temporarily whereas removing a hold is a permanent action.  
  • After a hold is removed, the hold shows on the student’s account as a resolved hold.
