This tutorial covers the tasks you’ll need to complete in Workday as a new WashU student. You’ll receive instructions to complete school-specific onboarding tasks once you’re given WashU key access. However, some tasks, like completing the Bear Beginnings Online Orientation, will be completed outside of Workday.
This resource is primarily for students. If you are looking for information related to this process for workers using Workday Student, refer to Onboarding for Workers.

Overview
Student onboarding steps appear in your Workday My Tasks inbox in stages. You’ll likely see a group of tasks appear together. After you’ve completed one group of tasks, later groups will appear in your inbox. Some onboarding tasks only appear after a time delay, and so you might see additional tasks weeks after you’ve completed the initial onboarding process. View the Navigating Workday Student tutorial to configure your system notifications and be alerted when time-delayed tasks become available.
Start by navigating to your My Tasks inbox:
- In Workday, click the My Tasks inbox.
- Tip: My Tasks inbox items appear newest first, so we recommend switching your My Tasks inbox filter to display oldest to newest as some tasks depend on earlier ones being completed first.
- Click on each item under the Actions tab.
- Complete the forms on the right side of the screen.
Onboarding steps
Below are some common steps you may need to complete during onboarding. Depending on your program of study, you may be assigned some or all of these steps.
- Remember that before you click Submit on individual tasks, you must first save any included links/documents.
- In the Review My Home Contact Informataion task, you’ll update your addresses, phone number, and email.
- Even if you have entered your contact information before, you must verify that you’ve entered a mobile phone number, a local address, and a permanent address in Workday, which many students are missing.
- To make updates, click Edit.
- Begin with your address. If you’ve already entered an address, verify the Usage, which identifies what the address is for. You must have an address tagged as a Student Local Address, and an address tagged as a Permanent, or you’ll receive a hold on your account preventing registration.
- If the address is both your local and permanent address, you can select both usages. If not, enter another address and select its usage.
- Next, verify you’ve entered your phone number with a Phone Type of Mobile, as well as an email address where you can be reached.

- Review Personal Information and click Approve if there are no changes.
- Click Edit to view and make changes.
- Click Submit, then click Done.
- Review the Relationship Types. If at least one emergency contact is entered, and all other information is correct, click Submit. If you need to add an emergency contact, click Add. Your emergency contact does not need to be in St. Louis or even the United States.
- For Relationship Type, select Emergency Contact.
- Complete the required fields on the Name tab. Don’t click OK yet!
- Navigate to the Contact Information tab.
- Click Add to enter the phone number and either mailing address or email address. If you plan to set up friends and family access to your Workday account, you must provide an email address.
- Click OK to confirm, then return to the inbox to approve your changes.
- Review the instructions for submitting an official transcript. Once instructions have been followed, click Submit.
- Review instructions for creating an academic plan. Once instructions have been followed, click Submit.
- Review instructions for registering for your first semester courses. Once instructions have been followed, click Submit.
- If applicable, follow instructions to complete the Disability Resources Accommodation Request Form. Click Submit.
- Review steps for receiving a WashU ID Card. Click Submit.
- Review Permissions for My Third Party. If you do not wish to add third-party access to a friend or family member, click Submit. If you wish to add third -party access, follow the steps outlined in the Set up Friends and Family in Workday and Manage Third-Party Permissions tutorial.
- Review Privacy Settings and click Submit if there are no changes.
- Indicate whether you would like to be included or excluded from the Public Graduate Student Directory. Name, photo, institution, and social media links are all public by default.
- Read the help text on the screen carefully before making your selection.
- Review the instructions and complete the Sexual Assault Prevention Training. Click Submit once completed.
- The first form is the Student Responsibility Agreement. Complete this form first.
- Download and review the Student Financial Responsibility Acknowledgement PDF.
- Scroll down to click the I Agree checkbox.
- Click Submit to complete the task.
- Refresh the inbox for the next group of tasks.
- Consent to receive Form 1098-T electronically (shows if not previously elected). If you prefer a paper copy, leave the box unchecked and WashU will mail the 1098-T form to your student profile address (Home).
Additional Context
- Based on your school, you may have a different set of onboarding tasks than some of your peers.
- For some onboarding tasks, a hold may be assigned until you complete various tasks; these holds may prevent course registration and/or other processes from occurring.
- There may be some tasks in Workday onboarding that link to external sites or systems and the task must be completed and then marked complete in Workday. It won’t exempt the student from having to do them in that external site/system. Please read the instructions carefully.
- If you’re an international student, you will be asked to re-enter your non-US address in Workday even if you already entered it during the admissions process.
