Tutorial

Use the Change Benefit Elections process to add/change beneficiaries, change health care and other benefits elections for open enrollment or after a qualifying major life event.

You have 31 days (62 days for birth, adoption and Medicaid coverage change) from the life event date to make changes to your health benefits. If you do not make changes within the 31-day deadline, you must wait until the annual open enrollment (in November) to make any changes and the effective date will be January 1.

Why can’t I initiate this process? Depending on the Workday security roles you have been assigned you may or may not have the ability to initiate this process. If you cannot initiate this process and feel you should be able to, please reach out to your security contact.

Before You Begin


Prerequisites

You will need to provide the following documentation for certain life events before this process is complete and approved:

  • Dependent arrival in US: A copy of the flight itinerary that shows that the dependent arrived within the last 31 days.
  • Divorce: Copy of the first and last page of the divorce decree containing judge’s signature and date within 31 days from the date of the divorce.
  • Gain of outside coverage: A document showing effective date of worker’s coverage under another employer-sponsored health plan. Document must be within 31 days.
    • Documentation may include:
      1. A letter from the other employer that includes employee name and benefits start date, with confirmation of enrollment.
      2. Insurance carrier documentation (ID card) that includes employee name and effective date of coverage
  • Loss of outside coverage: A document showing loss of employer sponsored health coverage within the last 31 days.
    • Documentation may include:
      1. Letter of employment termination or severance agreement that includes employee name and insurance coverage end date.
      2. Documentation of COBRA eligibility.
  • Medicaid Coverage Change: A letter from the Medicaid office with the date of when coverage ends or begins. Document must be within 62 days.
  • Spousal Surcharge Change: A document showing your spouse’s employment start or end date within the last 31 days. 
Considerations
  • Benefits eligibility varies from worker to worker.
  • Updating a beneficiary will not change their allocation percentages. To update percentages or add a beneficiary, please follow the process below for Basic Group Term Life (Staff or Faculty) or Insurance Basic Life AD&D (Post-Doc or Clinical Fellow).
  • If the allocation % needs adjustment for an already existing beneficiary, change the % on the main page. Do not add the same beneficiary twice.
  • Beneficiary designation: The beneficiary designation applies to the following plan enrollments: Basic Life and Employee Optional Life and AD&D. The beneficiary for Spouse and Child Life and AD&D defaults to the employee. This beneficiary designation will supersede any other designations on file. This election is separate from the Retirement Savings Plan. To designate or update a beneficiary for the Retirement Savings Plan, please contact TIAA.
  • Benefits change event deadlines:
    • Adoption: A worker has 62 days from the adoption date to make benefit election changes.
    • Birth: A worker has 62 days from the date of birth to make benefit election changes.
    • Change Optional Life, HSA, LTD Buyup, RMSA (anytime): A worker has 31 days from the event date to make benefit election changes.
    • Change Beneficiary: A worker has 31 days from the event date to make beneficiary changes.
    • Dependent Arrival in US: A worker has 31 days from the dependent’s arrival date to make benefit election changes.
    • Divorce / Dissolution of Domestic Partnership: A worker has 31 days from the divorce/dissolution of domestic partnership date to make benefit election changes.
    • Gain of Outside Coverage: A worker has 31 days from the date they became eligible for health care under another employer-sponsored health plan to make benefit election changes.
    • Loss of Outside Coverage: A worker has 31 days from the date they lost eligibility under another employer-sponsored health plan to make benefit election changes.
    • Marriage / Domestic Partnership: A worker has 31 days from the date of marriage/domestic partnership to make benefit election changes.
    • Medicaid Coverage Change: A worker has 62 days from which they gain or lose Medicaid coverage.
    • Supplemental LTD Change: A worker has 31 days from the date they become eligible for the Supplemental LTD plan to enroll in the plan.
  • You cannot enroll in or make changes to your elections under the Retirement Savings Plan through Workday. To enroll in or make changes to the 403(b) Retirement Savings Plan, go to tiaa.org/wustl or call TIAA at 888-488-3419.
Policies

Step-by-Step Instructions

  1.  Log in to Workday.
  2. Click Benefits and Pay in the Global Navigation Menu.
  3. Click Change Benefits in the Tasks and Reports card.
  4. Select a life event from the Change Reason list.
    • Note: For Change Beneficiary, refer to the Add, Change or Remove Beneficiaries tutorial.
  5. Enter or select a date in the relevant Date field.
    • For life events, the date should be the date when the life event occurred.
    • The deadline to submit elections will populate automatically based upon the Change Reason and the relevant Date field.
  6. Drop or Select Files to add any Attachments, if needed, including required documentation listed in the Prerequisites section above. This field is not required.
  7. Enter a Comment, if needed.
  8. Click Submit.
  9. Click the Open button to start the Change Benefit Elections task.
  10. Click the Let’s Get Started button on the Change Benefits Elections screen. Note: Open Enrollment changes can be made when received as a My Tasks Item labeled Open Enrollment Change.
  11. Choose from any or all applicable benefits listed below.
  12. After all plans have been updated, click Review and Sign to submit the changes.
  13. Review the Selected Benefits, and Waived Benefits fields.
  14. Review the Messages section for pertinent information.
  15. Review the Total Benefits Cost fields.
  16. Drop or Select files to add any Attachments, if needed.
  17. Read the legal notice.
  18. Check the I Accept checkbox to confirm your electronic signature.
  19. Click Submit.
    • After submitting, you may be contacted by the Alight Verification Center to provide documentation to verify a dependent’s eligibility. Refer to the Life/Employment Status Change page for more information.
Dependent Social Security Number
  1. For the listed dependent(s),
    1. Select Social Security Number (SSN), and then enter the SSN.
    2. If a SSN is not available, select Reason SSN is Not Available, and then enter the reason.
      • If this option is selected, someone from Benefits department will reach out to you to obtain the information.
  2. Click Ok.
Health Care and Accounts – Health Insurance
  1. Click the Manage link if currently enrolled, or Enroll if you want to join.
  2. Click Select to add coverage or Waive to remove coverage.
  3. Click the Confirm and Continue button.
  4. Select or unselect existing eligible dependents from the list, or click Add New Dependent.
  5. Complete the required fields and any relevant optional fields.
  6. Click Save.
Health Care and Accounts – Spousal Surcharge
  1. Click Manage to modify Spousal Surcharge selections.
  2. Select a plan or Waive to opt out of Spousal Surcharge.
  3. Click Confirm and Continue.
  4. Confirm appropriate Coverage is displayed, or select the appropriate one from the drop-down menu.
  5. Click Add New Dependent or select / unselect an existing eligible dependent from the list, if applicable.
  6. Click Save if a plan is selected. Click Confirm and Continue if no plan is selected.

Faculty and Staff eligible for full-time health rates through the university (not including Union Power Plant) who enroll in health insurance must enroll in the Spousal Surcharge Plan, whether you are covering a spouse or domestic partner or not. Only employees who are not enrolling in a health plan can waive the spousal surcharge plan. Click here to see more details on the Spousal Surcharge Plan. There is a No-Cost option if you meet the criteria.

Health Care and Accounts – Vision
  1. Click the Manage link if currently enrolled, or Enroll if you want to join.
  2. Select a plan.
  3. Click Confirm and Continue.
  4. Click Add New Dependent or select / unselect an existing eligible dependent from the list, if applicable.
Health Care and Accounts – Dental
  1. Click Enroll to join Dental Plan, Manage to modify Dental selections.
  2. Select a plan or Waive to opt out of Vision.
  3. Click Confirm and Continue.
  4. Click Add New Dependent or select / unselect an existing eligible dependent from the list, if applicable.
Health Care and Accounts – Health Savings Account
  1. Click the Manage link if currently enrolled, or Enroll if you want to join.
  2. Select a plan or Waive to opt out.
  3. Click Confirm and Continue.
    • Note: In order to enroll in an HSA, you must have elected a High Deductible Health Plan. You cannot elect both a Healthcare FSA and an HSA, but can elect a Dependent Care FSA with an HSA.
  4. If you want to contribute a certain amount Per Paycheck, enter that amount in this field. If you want to contribute a specific amount for the entire year (must be greater than $200), enter that amount in the Annual field.
  5. Click Save.
Health Care and Accounts – Healthcare FSA
  1. Click the Manage link if currently enrolled, or Enroll if you want to join.
  2. Select a plan or Waive to opt out.
  3. Click Confirm and Continue.
    • Note: You cannot elect both a Healthcare FSA and an HSA, but can elect a Dependent Care FSA with an HSA.
  4. If you want to contribute a certain amount Per Paycheck, enter that amount in this field. If you want to contribute a specific amount for the entire year (must be greater than $200), enter that amount in the Annual field.
  5. Click Save if a plan is selected. Click Confirm and Continue if no plan is selected.
Health Care and Accounts – Dependent Care FSA
  1. Click the Manage link if currently enrolled, or Enroll if you want to join.
  2. Select a plan or Waive to opt out.
  3. Click Confirm and Continue.
    • Note: You cannot elect both a Healthcare FSA and an HSA, but can elect a Dependent Care FSA with an HSA.
  4. If you want to contribute a certain amount Per Paycheck, enter that amount in this field. If you want to contribute a specific amount for the entire year (must be greater than $200), enter that amount in the Annual field.
  5. Click Save.
Insurance – Basic Group Term Life
  1. Click Manage to view details.
  2. Coverage selections will be visible, but cannot be changed.
  3. Click Confirm and Continue.
  4. Add, remove, or adjust beneficiaries from this screen.
    • Click the Plus button to add a beneficiary.
      • Select from Existing Beneficiary Persons or Existing Trusts, or select Add New Beneficiary or Trust
      • Complete the required fields and any relevant optional fields, click OK, and then click Save.
    • Click the Minus button to remove a beneficiary.
    • Select the percentage of benefits each beneficiary should receive in the Primary Percentage and Secondary Percentage fields. The total percentage must equal 100.
  5. Click Save.

  5. Click Save if a plan is selected. Click Confirm and Continue if no plan is selected.

Insurance – Optional Spouse/Domestic Partner Life
  1. Click Enroll to join or Manage to modify selections.
  2. Click Select to add coverage or Waive to remove coverage.
  3. Click Confirm and Continue.
  4. Select a Coverage Level from the list.
  5. Click Save if a plan is selected. Click Confirm if no plan is selected.
Insurance – Optional Child Life and AD&D
  1. Click Enroll to join or Manage to modify selections.
  2. Click Select to add coverage or Waive to remove coverage.
  3. Click Confirm and Continue.
  4. Review Coverage Information.
  5. Click Save if a plan is selected. Click Confirm and Continue if no plan is selected.
Insurance – Short Term Medical Disability
  1. Click Manage to view selections. Coverage is provided by WashU, so Select and Waive options are grayed out and are not changeable.
  2. Click Confirm and Continue to view coverage specifics. 
Insurance – Long Term Disability (Monthly)
  1. Click Manage to view coverage. These elections are view-only.
  2. Click Confirm and Continue to view coverage specifics. 
  3. Review Coverage information and click Save.
Insurance – Long Term Disability Buy Up

Note: This benefit is only available to Danforth Faculty.

  1. Click Enroll to join, Manage to modify selections.
  2. Click Select to add coverage or Waive to remove coverage.
  3. Click Confirm and Continue.
  4. Review Coverage information and click Save.
  5. Depending on other benefit selections, the below options may be available:
    1. Click View to see information on the Benefit plan.
      1. Click Enroll to join, Manage to modify selections.
    2. Click Select to add coverage or Waive to remove coverage.
      1. Select and Waive options may be grayed out.
  6. Click Confirm and Continue.
  7. Click Save.
Employee Assistance Program
  1. Click View to see the plan and coverage. Coverage is provided through WashU and workers are auto-enrolled, so Select and Waive options are grayed out and are not changeable.
  2. Click Confirm and Continue to view Coverage specifics.
